Melbourne Branch Sales & Administration 2025 – Position Description
Sales:
- Assist customers to select and purchase suitable solar equipment from internet and telephone enquiries, and walk-ins at the shop. Each sale may involve any or all of the following: system sizing, site evaluation, rebate calculation, written quote, written sales contract, Xero quote or invoice, or sourcing additional information from suppliers, etc.
- Order and arrange delivery of equipment and supplies as required.
- Arrange delivery to site, and installation of solar equipment as needed.
- Liaise with customers for their servicing and repair requirements, and schedule jobs.
- Make appointments for sales staff, as required.
Administration:
- Completion of sales and ordering paperwork.
- Assist and then take over the processing of solar power systems paperwork, including quotations, liaising with customers, ordering materials, arranging delivery and liaising with suppliers, freight companies and installers.
- Calculate and submit rebate paperwork correctly so that we get paid in a timely way.
- Update prices, pricelists, supplier details and our operating procedures, as needed.
- Keep the office, filing cabinets and desks ordered, clean and tidy, assist in maintenance of supplies.
- Assist in resolving problems such as delays, wrong equipment ordered, and general complaints. Elevate those that cannot be sorted, according to the procedures.
Duties:
- Assist customers, and answer or delegate internet and telephone enquiries.
- Order relevant equipment, parts or systems for customers.
- Arrange and put away files. Keep filing up to date.
- Update price lists when advised of new prices from suppliers.
- Advise when our website pages need to be updated or improved.
- Review and update Wiki information as needed.
- Maintain office supplies, including staff supplies, and reorder as required.
- Open and sort mail, enter accounts into Xero, and file ready for payment, as required.
- Check when current accounts are due for payment, and arrange payment as needed.
- Collect and prepare the weekly pay sheets on Monday, ready for timely payment on Wednesday.
- Keep Director advised of notices and meetings coming up.
- Liaise with Ernest for any problems with accounts or staff pays.
- Assist with smooth operation of business, a happy and caring attitude is essential.
Main Performance indicators:
- Professional approach to job.
- Product knowledge of all products, including solar power systems, solar ventilators, pool blankets and rollers, solar pool heating, composting toilets – to the stage of quoting customers correctly.
- Xero ability to the stage of writing sales invoices, purchase orders, receiving payments & issuing receipts.
- Become fluent in the use of Hubspot for customer care, and for further marketing.
- Ability to competently use Word, Excel, Hubspot and Internet.
Hours:
- Monday to Friday 8.30 am to 4.00 pm – 35 hours per week.
- 1/2 hour unpaid lunch break every day
- Other times by arrangement, or as required.
Pay and Conditions:
- Initial training salary package based on $30 per hour, plus superannuation, paid weekly.
- Superannuation is at the ruling rate of 11%
- Employed on casual basis for the first 3 months, then a permanent position will be offered, subject to a performance review.
Feedback and Assessment:
- Daily updates and briefings, as required.
- Weekly meetings every Monday to discuss projects, problems, opportunities and sales, any suggestions for improvements, new strategies, and possible major changes.
- Quarterly one-on-one meetings to discuss your position, any improvements, suggestions, training needed, problems or concerns, etc.
